How to fill it out
- Have every visitor sign in and out — contractors and deliveries too.
- Check ID and record vehicle plates at gated sites.
- Match badges out to badges returned at the end of the day.
- Keep completed sheets; they are often the first thing asked for after an incident.
Why keep a visitor log?
A visitor log tells you who was on your property at any moment — for safety in an evacuation, for accountability if something goes missing, and because many insurers, clients and safety programs expect one.
What a visitor log should capture
- Full name and company
- Who they are visiting and why
- Vehicle and plate (gated sites, job sites, warehouses)
- Whether ID was checked, and the badge number issued
- Time in and time out
- Signature
